Ops Flow, LLC ("Ops Flow," "we," "us") operates opsflow.pro and provides managed front office services to small businesses. This policy explains what we collect, why, and what you can do about it.

What we collect

Information you give us. When you fill out a form on this site or through an ad, we collect your name, business name, phone number, email address, and the answers you provide about your business — for example how many people work there and how many calls or messages go unanswered.

Calls, texts, and messages. If you call, text, or message us, we keep a record of that conversation, including what was said. Calls may be recorded and transcribed. Where a call is recorded, we say so at the start of the call.

Information collected automatically. When you visit the site we collect the pages you view, the time of your visit, and identifiers passed by advertising platforms — Google Click Identifier (gclid), Facebook Click Identifier (fbclid), and UTM parameters. We store a randomly generated visitor identifier in your browser to distinguish one visit from another. We do not collect your name or contact details this way.

Information from advertising platforms. If you submit a form directly inside Facebook or Instagram, Meta passes us the contact details associated with your account, along with your answers to our questions.

Why we collect it

  • To contact you about the service you asked about, by phone, text message, or email.
  • To prepare for that conversation, including estimating what unanswered calls may be costing your business.
  • To measure which advertising produced which enquiries, so we spend our budget sensibly.
  • To operate and improve the site.

We do not sell your information, and we do not share it with anyone for their own marketing.

Calls, texts, and email

If you give us your phone number and check the box agreeing to be contacted, we may call or text you about your enquiry. Message and data rates may apply from your carrier. Message frequency varies.

To stop text messages, reply STOP to any message. Reply HELP for help. To stop email, use the unsubscribe link or reply asking us to stop. To stop calls, tell us on any call or email info@opsflow.pro. Consent to marketing messages is separate from consent to be contacted about your enquiry, and you can withdraw either at any time.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All of the categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

AI and automation

Some of our calls and messages are handled by automated systems rather than a person. An AI assistant may answer your call, reply to your text or web chat message, answer questions about the service, and book an appointment for you. You can ask for a person at any point and we will get you to one.

Conversations handled this way are saved to your record the same as any other, and we review them to improve how the system responds.

We also use AI assistants internally — to prepare for conversations, draft replies, summarize what was discussed, and keep our records organized. Information you give us may be processed by those tools in the course of that work. We do not use your information to train anyone's AI models.

Who we share it with

We use service providers to run the business, and they see your information only to do their job for us:

  • HighLevel — our customer records, conversations, and scheduling.
  • Twilio — phone numbers, calls, and text messages.
  • Google — email, calendar, and advertising measurement.
  • Meta — advertising and lead forms.
  • Stripe — billing, if you become a client.
  • Replit — hosting for this website.
  • AI assistants and analysis tools — drafting, summarizing, and organizing our records and outreach

We also send limited conversion information back to Google and Meta so their advertising systems can learn which ads produced real enquiries. This tells them that an enquiry happened; it does not tell them what you said to us. Text messaging opt-in data and consent are never included in what we send to advertising platforms.

We will disclose information if the law requires it, or to protect our rights or someone's safety.

How long we keep it

We keep enquiry records for as long as we are in contact with you and for a reasonable period afterward in case you come back. If you ask us to delete your information, we will, except where we are required to keep it — for example records of your consent to be contacted.

Your choices

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email info@opsflow.pro and we will respond.

Depending on where you live you may have additional rights under state privacy law, including the right to know what we collect and the right to opt out of certain sharing. We will honor those requests regardless of where you live.

Cookies and similar technology

We use browser storage to hold a visitor identifier and to remember whether you have already submitted a form. Advertising platforms may set their own cookies through the measurement code on this site. You can block or clear cookies in your browser settings; parts of the site may not work as expected if you do.

Children

This site is for businesses. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy we will update the effective date above. Material changes will be noted on this page.
